Administrative Assistant III

Performs a variety of administrative and staff support duties for the Real Estate Department, including data entry related to offers and sales, deeds and closing documents. Maintain and manage real estate inventory database. Composes, edits, and proofreads correspondence and reports, prepares a range of administrative documents.

JOB QUALIFICATIONS
Qualifications include a minimum of a high school diploma or GED and at least five years of business/administrative experience. Some college preferred. Must be proficient in Microsoft Office products, demonstrate outstanding organizational skills, and possess good written communication skills. GIS mapping skills a plus.

GENERAL SUMMARY
Performs a variety of administrative and staff support duties for the Real Estate Department, including data entry related to offers and sales, deeds and closing documents. Maintain and manage real estate inventory database. Composes, edits, and proofreads correspondence and reports, prepares a range of administrative documents.

ESSENTIAL JOB FUNCTIONS
Provides administrative/secretarial support for the department such as answering telephones and resolving and/or referring a range of real estate problems and inquiries.

Operates personal computer to compose and edit correspondence and/or memoranda from verbal direction or from knowledge of established department/division policies; prepare, transcribe, compose, type, edit, and distribute agendas and/or minutes of meetings.

Schedules and coordinates meetings, appointments and other similar activities for supervisor, which may include coordinating travel and lodging arrangements.

Prepares board material agendas. Attend real estate commission meetings and prepare minutes and resolutions.

Maintains property database on GEO St. Louis or any other . Creates and maintains maps of LRA property, and other real estate maps as requested.

Prepares statistical and narrative reports and spread sheets, performs basic information gathering and  as specifically directed.

Assists staff in problem solving, project planning, and development and execution of stated goals and objectives.

Establishes, maintains, and updates files, databases, records, and/or other documents; develops and maintains data, and performs routine analyses and calculations in the processing of data for recurring reports.

Must have ability to operate standard office equipment

"The position may be financed (in part) (wholly) through an allocation of Community Development Block Grant funds from the Department of Housing and Urban Development and the City of St. Louis' Community Development Administration."
